A heavy and manual product information management process
Halti provides rich product information to over 20 retailers in various spreadsheets that were previously compiled manually. Annually, sales catalogues are produced, which are based on a table containing marketing data. For a long time, updates to the catalogue were manually made in Excel, which then served as the basis for further manual updates in InDesign. It was clear that the task of managing product information was unsustainable in the long term. A centralised system was needed, where all product data is enriched and easily accessible in one place.
Solution
Automation reduces manual work
Crasman meticulously mapped out Halti's processes and both current and future needs during the specification phase. An integration was created from the ERP and PDM systems to the product information management system (PIM), into which all necessary product data was imported. This information is utilized within Halti's own organization and used for customer communication. The PIM houses all the product information required for marketing communications. Enriching product data is straightforward and clear, thanks to a ready-made template to expand upon. Product information and its management were localized into four languages: Finnish, English, Swedish, and German. Thanks to the implementation, enriched product information can be synchronized with a single click to Halti's online store. The PIM prepares product data for the online store as comprehensively as possible through automation, thus freeing up Halti's resources from manual work. The PIM also facilitates the creation of CSV files for retailers. Product information templates requested by retailers were directly implemented into the PIM, and in addition, Halti has access to several product information reports necessary for internal use. Producing materials for sales catalogues is swift when product information management exports data into a CSV format for layout programs. Product data is also automatically generated into printable PDF files, with models based on catalogues. Halti uses these printouts, among other things, in their sales.
Implementation
Halti's product information management has reached a modern level, as all necessary information is accessible from a single source. The implementation of the new system allows focus on essential tasks – the annual time savings are significant across sales, marketing, and production. Furthermore, internal and external communications are streamlined, as product information is consistently sourced from one central system for various needs. The speed and ease of creating sales proposals have been particularly praised by Halti's sales team. PDF proposals now include key product details, stock availability, and product images.
