The Taksa system serves hundreds of Finnish pharmacies. Crasman implemented a demanding integration project and ensured that the data in the PIM system is reliable and consistent.

In a nutshell:

Taksa is the product database of the Finnish Pharmacy Association, containing a wide variety of product information on medicines, herbal preparations, and general merchandise. Approximately 600 member pharmacies of the Pharmacy Association and hundreds of online pharmacies use the Taksa system.

Challenge: Outdated system and poor-quality data

Built on nearly 20-year-old technology, Taksa needed modernization. The Pharmacy Association hoped to find a ready-to-use PIM platform that could meet their needs. The goal was to avoid unnecessary customization, thereby improving stability and maintainability, and ensuring a long lifespan for the system.

The product information management of Taksa is a crucial system for the industry, providing enriched product information to the information systems of all member pharmacies of the Pharmacy Association, which constitutes the majority of Finnish pharmacies. Since the product information concerns medicines, the PIM solution and the product information must be extremely reliable – any error could potentially be life-threatening to the pharmacy customers.

– The project can rightly be called critical: a significant portion of Finnish pharmacies relies on the information from the system, and if the system's information is incorrect, its impacts are immense, says the development manager of the Finnish Pharmacy Association, Markus Manner.

Solution: Modern Akeneo platform and tailored product information model

The Pharmacy Association had pinpointed Akeneo as their desired platform, in which Crasman has extensive experience. Furthermore, the Pharmacy Association and Crasman have a long history of collaboration, making Crasman a natural choice as the system supplier.

During the project, the importance of the specification phase became particularly evident. Crasman defined the product structure, integrations, and migrations of the PIM system together with the Pharmacy Association and Akeneo, resulting in comprehensive specification documentation for the implementation phase.

– I appreciate that Crasman challenges their clients. Their role was very important in conducting a thorough specification and questioning prevailing practices. Additionally, they managed the entire project, including integrations, very systematically and meticulously, says Markus Manner.

Results: A robust system for the distant future

The new Akeneo-based Taksa is modern, and thanks to standardized data models, its maintainability and usability are of a high standard. The practices and models created in the project, along with supplier independence, ensure a long lifespan for the system. The project also corrected errors present in the previous PIM system, resulting in improved data integrity and quality.

– Perhaps even the most crucial aspect for the project's success was that the new product information model is thoroughly thought out and is future-proof. While defining the product information model simultaneously with the new system, we got everything right in one go, says Crasman's PIM expert Lotta Multimäki.

– The renewal brings numerous benefits. The new Taksa ensures that the same product information is available across all information systems regardless of the customer's interaction channel. The automation level of the system is considerably higher than before. The handling of medicinal products is more efficient, enabling broader production of enriched information. Additionally, the system is compatible with the global GS1 standard, allowing for broader productisation and easier introduction of new suppliers into Taksa than before, Markus Manner lists.
